The Registrar is responsible for ensuring the correct completion of the registration forms, the summary forms and the subsidy forms. Registrar are responsible for turning in the troop registrations into the Council. The Registrar is a Volunteer position, and is a point of contact for the Membership Extension Department of Council. She/He is responsible for maintaining the membership database for the Service Unit, ensuring that all troops are registered in a timely manner, coordinating with Service Unit Managers on leader training and materials provided to troops by the Service Unit and Council.
In order to re-register, the troop financial forms must be turned in to Lisa Miller - the Service Unit Treasurer.
Registration fees are $10 per person. This means for every girl it is $10 and every adult it is $10. Leaders and Co-Leaders must also pay the $10 registration fee. Anyone over 18 years of age must complete the Adult Registration form. Anyone under 18 yeas of age must complete the Girl Registration form. A Summary form MUST be completed every time a troop submits registration forms. This includes submitting ADD-ON members. Your forms will be returned to you or held by the registrar until the summary form is completed. The registrations cannot be turned into council without the summary form. The registration fee goes to GSUSA, . Your $10 membership fee covers the member accident insurance policy and other programs provided by Girl Scouts of America.
How to Register: In order to be a recognized troop with the Service Unit and Council, you must be a registered troop. During registration periods, typically during the Spring and Fall, the Registrar will pass out forms for registration. The forms that you will need to register are: Adult & Girl Registration forms, Troop Health Forms, Membership Dues Summary Forms, Subsidy Forms, and Ways Adults Can Help. If you are in need of any of these forms, please contact your Registrar. Every girl in your troop will need to complete the Girl Registration Form. Please ensure that the Emergency Contact Information and the Ethnic & Racial background areas are completed, as well, a parent signature must present on the form. The Leader and Co-leaders will need to complete the Adult Registration forms, as well as any parents that would like to register. An adult who will be present at any meeting, field trip or function will be required to be registered. As well, any parent volunteering to drive for Girl Scout functions will be required to register. One or both parents are welcome to register, we have tons of dad's that are registered with the Service Unit. This is for insurance purposes through Council. Please reference your Adult Resource Guide for additional concerns of registering adults.
Collecting Registration Fees and Dues: Registration Fees are collected to register a person to Girl Scouts, it is turned in to Council and is separate from the troop funds. Troop Dues are collected by the troop to fund supplies and outings completed by the troop, these are part of the troops funds. If your troop chooses to collect both Registration Fees and Troop Dues at the same time, this is acceptable. A separate check for registration can be written, or one check for both made out to the troop. However, if one check is completed the troop will then be required to write a check for the total amount of the registration fees of that troop. (example, if there are 4 girls and 2 adults registering and one check was collected for both dues and fees, a check for $60 must be written by the troop to Council for registration.) Parents do not need to write a separate check for each individual registering, one check for all persons in that family registering is accepted. (example, if both mom, dad and girl are registering, one check for $30 should be written. Please do not ask for 3 checks for $10 each.)
Completing Registration: Once your troop has completed the Registration forms and you have collected the $10 registration fee from every registering person, please turn in all copies of both the Registration forms and the Membership Dues Summary forms. Both copies of the Membership Dues Summaries are kept by the Registrar. The registrar will return the yellow copy of the Registration from to you when your troop has been processed. Usually this takes up to two weeks. Once the yellow copies are returned to you, you may keep them on file for contact information or return them to the parents. Do not turn in the Health Information sheets. These are for the Leaders to keep on file for meetings and outings, please reference your Adult Resource Guide. If you are a Leader of a new troop, once you have turned in the registration forms to the Registrar, and the Registrar has processed your packet, you will be assigned a troop number. If you have any questions about registering, please contact your Registrar.
Ensure that the forms are signed and the Emergency Contact Information is completed before submitting the forms to your Registrar. The forms will be returned without either or both present. The Emergency Contact Information should be someone other than the parent, and should not have the same home phone number as the Girl. This is meant to be an additional person to contact, in the case that the parents are not able to be reached.
Ensure that the Racial & Ethnic Background Information is completed on all the forms. This information is used by council. If your parent has left these areas blank, the leader is responsible for completing this area to the best of her/his knowledge. If the leader has completed one or both the Racial & Ethnic Background, please indicate by marking the circles to the left on the bottom of the page. Please fill in VS Category #1 if the leader has completed the Racial background, and VS Category #2 if the leader has completed the Ethnic Background. Your best guess is all that is needed here.
